We’re Hiring: Administrative Assistant

POSITION SUMMARY

The Fines & Fees Justice Center (FFJC) is seeking an Administrative Assistant with a proven track record of supporting multi-leader teams through high-level organizational and administrative expertise. This role is a high-impact administrative position reporting to the Senior Executive Assistant. You will serve as the operational backbone for four members of the Senior Leadership Team (SLT), creating systems and working with each of them to ensure their daily workflows are structured, seamless, organized, and efficient.

This position balances high-level logistical coordination—including complex calendar management and action-item tracking—with a focus on process optimization. You will play a pivotal role in streamlining communication and visibility across the Senior Leadership Team to facilitate stronger organizational alignment.

This is a full-time remote position with the requirement for travel for in-person meetings or events as needed, including mandatory semiannual staff retreats.

ORGANIZATIONAL OVERVIEW

Nearly every interaction a person has with the justice system, regardless of guilt or innocence, comes with a bill. But for those without the means to immediately pay up or fight back, one missed payment opens the door to dire, lifelong consequences. 

The Fines and Fees Justice Center was founded to end the immoral practice of governments’ using fines and fees to profit off the most vulnerable. We empower state and local efforts to end fees in the justice system,  ensure that any fines are fair and equitably imposed, and to end draconian enforcement practices that trap people in an unending cycle of punishment. 

FFJC and our partners have achieved over 80 legislative victories, authored two dozen original research and policy reports, and partnered with more than 300 organizations to advance the national fines and fees reform movement.

JOB RESPONSIBILITIES AND OPPORTUNITIES

Reporting to the Senior Executive Assistant, the Administrative Assistant’s day-to-day work  will be supporting the four members of the Senior Leadership team. The selected person will provide high-level administrative support to the Senior Leadership team members by:

  • Providing complex calendar management for four senior leaders
  • Working closely and effectively with the SLT to create, coordinate, implement, and manage processes that will ensure structured and effective workflow, cross-team visibility, and communication between the SLT members
  • Partnering with the SLT to drive meeting productivity by developing agendas, capturing high-level minutes as needed, and overseeing the end-to-end execution of post-meeting action items and stakeholder requests
  • Maintaining databases and filing systems for materials, ensuring documentation is current and accessible
  • Maintaining a high level of confidentiality and professionalism at all times
  • Understand, implement, and help SLT follow Administrative policies

This role is full-time and remote with travel within the continental United States and must be able to work Monday-Friday 12-4 pm Eastern Time. The 12-4pm block is the hours during which all staff must be available; the other working hours within the day are flexible according to one’s time zone and the needs of one’s team and the approval of the direct supervisor.

QUALIFICATIONS OF THE IDEAL CANDIDATE

Candidates must meet the following minimum qualifications:

  • Minimum of 3 years of progressive experience supporting executives
  • Minimum of 1 year supporting multiple executives
  • Demonstrated success managing complex, multi-stakeholder projects with competing personalities, priorities, and timelines
  • Strong organizational, time-management, and project-management capabilities including proficiency with systems and tools supporting these functions
  • Proven ability to work autonomously and take initiative while leveraging supervision and support to ensure alignment and quality outcomes
  • Detail-oriented with strong follow-through and accountability
  • Ability to anticipate needs, think critically, and offer solutions to complex challenges
  • Outstanding written and verbal communication skills with the ability to interact effectively at all organizational levels
  • Willingness to travel occasionally and work occasional nights and weekends
  • Advanced proficiency in Google Suite
  • High degree of professionalism, sound judgment, and discretion in handling confidential and sensitive matters

Though not required for the position, a candidate who can demonstrate following may have a stronger application:

  • Experience in nonprofit operations, advocacy, or criminal justice reform settings
  • Experience supporting C-suite executives and Senior Management teams in fast-paced, mission-driven organizations
  • Previous experience working with movements for social change
  • Familiarity with advocacy work and policy development processes
COMPENSATION AND BENEFITS

FFJC’s compensation philosophy consists of a 5-band salary structure. The Administrative Assistant role is a band 1 position.  The starting salary for the position is between $70,000 – $75,000 based on the qualifications of the candidate at the time of hire. This role has the future ability to move up in both band position and in salary with longevity or promotion.

  • Employees who work 4 consecutive years at FFJC receive an additional week of paid vacation annually.
